Inventory logic explained
Master
Master is the global inventory cap for the product. Think of it as the total inventory pool available before it is assigned across selling locations.
Allocated
Allocated is the total quantity assigned across all active locations. It is calculated from the location inventory quantities.
Available
Available is the remaining unallocated inventory. When inventory is limited, it is calculated as Master − Allocated.
Product table columns
Name
Shows the product name that appears in the POS product list.
Price
Shows the product price used during POS checkout.
Category
Shows the product category. If no category is assigned, the page may show a dash.
Master
Shows the product’s master inventory quantity when master inventory is available for that product.
Allocated
Shows how many units have been assigned across active POS locations. If any active location has unlimited quantity for that product, this may show as Unlimited.
Available
Shows how many units are still available to allocate. If the product is unlimited or does not use master inventory, this may show as a dash.
Active
Shows whether the product is active. Active products can be used in POS workflows when they are also assigned to the correct location.
Edit
Opens the product editor for that item. Use this to update the product name, price, category, active status, or inventory-related settings.
Unlimited inventory
Some product/location assignments may be set to unlimited. When a product has an active unlimited location row, the All Products page treats that product differently:
- Allocated may show Unlimited.
- Available may show a dash instead of a number.
- Unlimited products are not limited by a finite location quantity in the same way as counted inventory.
Over-allocated inventory
If the total allocated quantity is greater than the master quantity, the row may highlight the Allocated or Available values. This means more inventory has been assigned to locations than the master quantity allows.
To fix this, open Manage Locations + Inventory and reduce the assigned quantities, or edit the product and increase the master quantity if the larger total is correct.
Which tool should I use?
Use + Add Product
Choose this when creating a new item to sell through POS.
Use Manage Categories
Choose this when you need to create, rename, sort, or clean up product categories.
Use Manage Locations + Inventory
Choose this when products need to be assigned to specific POS locations or when location inventory needs to be changed.
Common issues
I do not see any products
No products have been created yet, or the current category filter has no matching products. Use + Add Product to create a product, or clear the category filter.
A product is not showing on the POS selling screen
Make sure the product is active and assigned to the correct POS location under Manage Locations + Inventory. The All Products page shows master setup, but location assignment controls what appears during POS use.
Allocated says Unlimited
At least one active location assignment for that product is set to unlimited quantity. If that is not intended, review the product under Manage Locations + Inventory.
Available shows a dash instead of a number
This can happen when the product is unlimited or when master inventory is not used for that product.
Allocated is higher than Master
The product may be over-allocated across locations. Reduce location quantities or increase the product’s master inventory amount.
I need to change the product price
Click Edit next to the product and update the price in the product editor.
